Custom management systems

A management system
built the way your shop works.

Shops with Thai or Vietnamese staff deal with the same three things every day: not understanding, not adding up, not collecting. We turn those into a LINE work-group bot configured to your shop's rules, and we ship iPhone apps that are live on the App Store. Staff install nothing. Just LINE.

We set it up for you; it runs from the same night.

CustomNot packaged software. Built around your shop.

Every shop has its own pay rules, shifts and reminder times. We first ask how you do it today, then build that into the system. Changing a rule later does not mean changing systems.

What can be customized

  • Pay rules: hourly rate, full-day bonus, attendance bonus tiers, settlement period (for example every 14 nights)
  • Daily report fields and formula; how often and when tab reminders go out
  • Which languages the work group translates; your shop's jargon and names
  • Who receives what: staff, agents, managers and the owner each see their own part
  • Whether to run tonight's board, how long it keeps photos, who can see it
  • Anything else your shop does every day by hand

How we work

  • We talk about your shop first: how many groups, how many staff, how pay is calculated today, where mistakes happen
  • We set it up, add the bot to your groups and stay close for the first week
  • Need a rule changed later? Tell us. Done with it? Remove the bot from the group
  • Data stays on our own servers, not on third-party cloud translation services

Core productJarvis Ops: the LINE work-group bot

Add it to the work group and it starts working. Four jobs, each one the owner used to do by hand or through the one employee who speaks Chinese.

Understand

Automatic Chinese–Thai translation in the group

Managers type Chinese, Thai staff read Thai; staff reply in Thai, the owner reads Chinese. No commands, no setup.

Correct a jargon term once and it is remembered. Before sending, it blocks the errors that cause trouble: currency, times, vulgar words. Japanese, Vietnamese, English, Burmese, Filipino and Korean are handled too, and voice messages are translated.

Add up

Hours booked, settlement automatic

The hours sheet posted in the group is the pay record; nothing is copied by hand. The last version of a night counts. 👌 means the customer paid cash; no mark means a tab.

After 14 nights the settlement is computed: hourly rate, full-day bonus and attendance bonus together, sent privately to the person and the owner. If a night is missing from the sheet, it waits rather than guessing.

Collect

Daily reports and tab reminders

The daily report is filled on the phone inside LINE, with the roster pre-filled. "Total hours × rate − expenses − tabs = cash due": if it does not balance, it cannot be sent.

Unpaid tabs are reminded publicly in the group every night, because deterrence needs an audience. Late reports are reminded the next evening. Cash that does not balance goes privately to the owner only.

See

Who is in tonight: a board for customers

The check-in selfies staff post before the shift are laid out automatically as a phone page. Floor staff show a QR code; the customer scans it and sees who is in tonight.

Updated every night, kept for three days only, and nobody appears without checking in. Only people who scan the code can see it; it is not a public page. Who appears and for how long is the shop's call.

A typical day

Staff post a check-in selfie; Jarvis replies with tonight's arrival rank, and the photo goes onto tonight's board. New members are added to the roster automatically and the owner is asked once: is this an employee?

Every Chinese line becomes Thai and every Thai line becomes Chinese. Anyone can ask "@Jarvis hours" or message Jarvis privately.

The report filler completes the daily report on the phone; cash due is computed. If it does not balance, it cannot be sent.

An automatic check: duplicate tabs, formula gaps, cash marks. Anything odd goes privately to the owner.

Anyone who has completed 14 nights is settled automatically; details go to the person, the agent and the owner. For those due to leave, the owner is asked once whether she has gone home.

Public reminders for unpaid tabs: the first three nights, silent on nights four to six, every night from the seventh.

Why it does not go wrong

Not because the AI is clever. Because three rules keep it honest.

Staff audit their own hours

Pay comes from the hours sheet, so a missed session is raised the same night. The people with the strongest motive are watching that column; the system only has to store it correctly.

The daily report checks itself

Total hours, rate, expenses, tabs and cash due form one closed equation. A report that does not balance cannot be sent, so the person filling it cannot be both the source of an error and its judge.

Judgment calls go to the owner only

Encouragement goes to staff, collection reminders go to the group, questions that need a decision go privately to the owner. Three directions, kept apart, so nothing reaches the wrong eyes.

Getting started

We do the setup. You give us the groups.

Contact us

Tell us by email or LINE: shop name, how many work groups, roughly how many staff, how pay is calculated today.

We set it up

Company, groups, pay rules, report fillers. Done within half a day.

Add Jarvis to the work group

It introduces itself once, then translates quietly. Staff do nothing.

Same night

The first hours sheet posted is booked; the daily report can be filled that night.

FAQ

What do staff need to install or learn?

Nothing. Being in the LINE work group is enough; messages are translated automatically. To check hours, type "@Jarvis hours" or message Jarvis directly.

Does it work outside the entertainment trade?

Yes. Translation, hours and daily reports are the same for restaurants, factories and massage shops; pay rules are configured for your shop.

Where is the data and who can see it?

On our own servers, not on third-party cloud translation services (if a backup service is used, we tell you). Translations are visible only to that group's members and the people the shop authorizes; pay and reports only to the people the shop designates.

How much does it cost?

Quoted by shop size (groups, staff) and how much is customized. Done with it? Remove Jarvis from the group.

What if the server goes down?

Translation can switch to a standby machine or the cloud with a few seconds' pause. Report and hours data are backed up regularly.

Do LINE push messages cost money?

Translations and in-group replies use LINE's reply quota, which is free. Proactive messages such as settlement notices use your shop's own LINE Official Account quota, set up with the shop.

Want it for your shop?

Tell us your shop name, how many work groups and roughly how many staff. Email us or message Jarvis on LINE; we will get back to you soon.
